Who this is for

Filipino devs and tech workers who already have a job offer or are in the middle of visa or DMW processing, and need to get their PH-side paperwork in order before leaving. If you are still job hunting, save this for later.

What this helps you decide or do

Most of the documents on this list are far easier and cheaper to get while you are physically in the Philippines. Once you are in NL, getting a fresh PSA copy or an apostille means mailing, waiting, or paying someone back home to do it for you. This helps you batch the trips now.

Quick checklist

  1. PSA birth certificate, recent copy. Order on PSA Serbilis or PSAHelpline and grab 2 to 3 originals, not just one.
  2. PSA marriage certificate if you are married, and PSA birth certificates for any kids joining you.
  3. Apostille from DFA for the civil documents your employer or the IND asks for. Book the DFA apostille appointment early, slots fill up. Confirm with your employer exactly which documents need apostille before you pay for all of them.
  4. NBI clearance, commonly asked for. Get the version valid for travel or abroad use, and check if it needs apostille too.
  5. Diploma and Transcript of Records, original plus clear scans. If your role or visa route involves a diploma check, ask whether it needs apostille or evaluation.
  6. Certificate of Employment from past PH employers, with dates and role. Easier to request while you still have contacts there.
  7. Valid Philippine passport with enough validity left. Check the expiry now, renewing from NL is slower.
  8. Your signed employment contract and offer letter, both PDF and a printed copy for your travel folder.
  9. DMW or POEA exit clearance or OEC if it applies to your case. Verify with DMW whether your direct-hire situation needs it.
  10. PhilHealth, SSS, and Pag-IBIG records or member numbers, in case you need them for separation or future claims.
  11. Driver license and an official translation or international permit if you plan to exchange it in NL later.
  12. Digital backups: scan everything to cloud and a USB, named clearly, before you pack.

Common mistakes

  • Getting only one PSA copy. You will be asked for originals more than once.
  • Assuming every document needs apostille. Some do, some do not. Check first to avoid paying for extras.
  • Leaving NBI or passport renewal until the last week. The queues do not care about your flight date.
  • Treating NBI, police, or PSA documents as universal must-haves. They are case-specific, so confirm your own list with your employer and the IND.

I went direct hire, and the thing I underestimated was how annoying it is to fix a missing PH document once you are already in NL. Get extra PSA copies and sort your apostilles while you are home. Future you will be glad.
